2014-04-16 PEARLAND LIBRARY BOARD MEETING MINUTESPearland Library Board April 16, 2014 In attendance: Catherine O'Brien, David Thrash (Brazoria County Library Director), Andrew Fearn (manager, Pearland Branch), Scott Sherman (city council liaison), Ginny Koenig (manager, Pearland Westside Branch), Terry Ruiz, Crystal Carbone, and Geoff Tonini. Absent: Geiby George Call to order Terry Ruiz called the meeting to order at 7:06 p.m. II. Purpose of the Meeting: 1. Approval of Minutes of January 20, 2014 Geoff made a motion to approve the minutes and remove the account numbers from the treasurer's report. Crystal seconded. Minutes approved. 2. Treasurer's Report Pearland State Bank account closed and rolled over to Wells Fargo CD. Maturation date is in June. Geoff filled out the form and is now bonded for $5000. Geoff tried to put someone on city level on the signature card in case we all leave. They are investigating that. Minutes should be filed with the city secretary. We have web access to the account. We need to identify whose is on the card and who we need to put on the card. 3. Review of Board Ordinance Catherine requested that the board review the powers and function of the Pearland Library Board. It needs to be reviewed since there are now 2 librarians There was a question re: the right copy. Scott will make sure we receive the current copy and review them. 4. Discussion of Applicants for Board The board needs to replace 2 members. They reviewed an application, and Catherine made a motion to recommend that the Roshanda Cayette-Contreras be recommended to city council for approval. Crystal seconded the motion. Motion carried. 5. Friends of Pearland Westside Library Report The friends are in dire straits. We are going defunct. There are only 2 active board members. A book sale, open house is scheduled for Friday, April 25 for several hours in the afternoon. Need to move to daytime meeting. Ginny suggested that they afternoons are more active, and it is very busy on Saturdays. Geoff suggested May 10, which is also Election Day. Terry made a trifold for distribution. Geoff will help on that day. 6. Friends of Pearland Community Friends of the Library Report A handout of their financial report was distributed. The next meeting is June 9 at 7 p.m. Margaret Dillie was elected president, and the vice president and secretary positions were filled, but treasurer position is vacant. 7. BUS Pearland Representative Report Terry reported that they are getting ready for commissioner's luncheon on April 22. At end of the year, Judge King will be retiring. The author dinner is on October 30, 6:30 to 9:00 at fairgrounds in Angleton, and a thank you to him. Joaquin Jackson will be the speaker. The commissioner's will underwrite his fee, and it will include dinner. 8. Pearland Westside Branch Manager's Report Ginny reported on the hiring process for a new position, 10 -hour shelver, and a 24-hour clerk position. Steven has gone to Alvin, and Lucia has filled the children's position. City has brought an offer to expand into the adjacent office space. It would not quite double the space (i.e., 4000 ft2 added to existing 6000 ft2), but we won't be adding more stacks. It will be workspace and offices. The space is still less than Pearland Branch. There was a request for the book usage report. Action item: the book usage report will be emailed to the board. Discussion re: signage for the library. Scott announced that all signage for the city will be changing. 9. Pearland Branch Librarian's Report The budget and cover letter was provided. Supplemental budget will go into a facilities request. We are requesting a more modular conference table for the conference room. Andrew provided the budget report since we are half -way through the year. Andrew reported on activities at the library, including summer reading. We have Gulf Coast Reads in October. The book is Remember Ben Clayton by Stephen Harrigan. Cleaning of carpets will take place next Monday. The janitorial service doesn't deep clean carpets. Door count coming up May 5 - 10, and they need volunteers. Monday, June 23 is book speed dating event. 10. Brazoria County Library System Director's Report David reported on the drug drop off/disposal program. Stella Roberts recycling center is one location, as are Pearland Library and Town Center. All sites are manned. Job view is a new data base that the library has, with over 2 million listings nationwide. It can be localized for Texas and for Pearland. It offers specific jobs to persons who have been previously incarcerated and for veterans. Also have Learner for Life with over 360 different courses that patrons can take for free. Most are 6 weeks, self-directed. They utilize professionals as teachers. III. Adjournment Geoff made a motion to adjourn. The next meeting July 17 @ 7 p.m. Respectfully submitted, Catherine O'Brien
