ADVISORY BOARD MEETING - MINUTES
Tuesday, October 10, 2017 - 6:00 p.m. at CVB
CALL TO ORDER & CVB ADVISORY BOARD MEMBER ROLL CALL.
Meeting commenced at 6:05 PM. In Attendance: Gary Shepherd (Chair), Manny Patel (Vice Chair),
Alpesh Shukla by phone, Margo Green, Teir Allender, Kim Sinistore - Executive Director.
Absent: excused - Lonzie Helms, Keith Ordeneaux, Tomika Gamble, Steve Saboe and Jon Branson.
II. DISCUSSION AND POSSIBLE ACTION REGARDING July 12, 2017 BOARD MEETING MINUTES.
Minutes accepted and all approved.
III. DISCUSSION AND POSSIBLE ACTION REGARDING FY2018 CULTURAL ARTS GRANTS. Manny Patel motioned
to support the awarding of $29,000 in arts funds for FY2018 grant program; Gary seconded and all
approved - 5-0 vote.
IV. PUBLIC COMMENTS —Teir brought up the food truck permits and requested looking into where the policy
stand and how to re -work the frequency limitations per year. Alpesh supports food trucks and doesn't
think it competes with restaurants; just provides new culinary experiences. We should look into having a
venue for food trucks that includes electrical outlets. KS to provide an update from the Fire Dept, etc...
and get back to the Board.
V. STAFF REPORT FROM THE CONVENTION & VISITORS BUREAU EXECUTIVE DIRECTOR

Exec directors report shared with Advisory Board - see attached report
Discussion was held about looking into an art reception at various events or within the PTC. Also
mentioned was that there was a group from Fort Worth that came to see the pears during the CVB art
show.

Executive Director's Report,
Special Projects&Updates:
• FY2018 budgeted approved—operating--$786,493;with up to$390,000 for Stage construction, $40K for Arts and$15K for
Historical.
• TAAF, TX Amateur Athletic Federation — Athlete registration and housing opened 10/2; marketing and promotion is on-
going with media sponsor Community Impact.
• Meeting Max Housing Reservation System—Training held and set to go live for TAAF event on 10/2.
• Branding-Refreshed logo and advertising look; updated maps, event venue guides and antique guides.
• Pear-Scope project—Just waiting on plaque delivery and installation.
• Railroad Depot— Received a quote for architectural/engineering services for restoration and renovation and plan to move
forward with hiring of company for services no more than $15k.
• Events&sponsorships—Art show and Oktoberfest just completed; KANZI Fest postponed til Nov.
• Hurricane Harvey—Governor Abbott suspended the state and local hotel occupancy tax exemption for guests affected by
Hurricane Harvey from August 23 through Oct.23. FEMA is continuing to pay hotel occupancy taxes through CLC system.
• Cultural Arts Grant FY2018-Recommended providing...
Marketing:
Website page views—Quarterly—69,8331 Fiscal YTD—225,901 1 FB fans/likes—4,263
• Website—Increase to 85%capture rate of new visitors;top pages for the last quarter include:What do Do in Pearland,
Events in Pearland,Where to Eat in Pearland,Where to Shop in Pearland.
54%visiting from mobile devices; 65%audience skews to females ages 35-44;top sources of traffic are organic(40%),
Vacations to Discover(20%),direct(13%), pay per click(7%), FB(6%).
September is now the record holder for the most pages viewed due to Best Stores in Texas article and variety of events
including Opry on the Square bumps from Mary Sarah's base. Overhauled Main navigation and rework of Play drop down
website pages
• Advertising—Promotion supporting Pearland Opry on the Square, Pearland Art&Crafts on the Pavilion,sponsorship events
including Oktoberfest&iFest. Logo redesign on collateral pieces and digital platforms. Completed updates to Visitor
Guide, Event Venue Guide. Started work on video project. Next quarter focus will be TAAF games boosting registration.
• Media Coverage—PR stories—Opry event,Art&Crafts on the Pavilion picked up in Pearland Reporter,Journal,Chronicle.
Sales Development:
• Leads& Inquiries—Quarterly room night pick-ups— 1,112 1 Consumer Inquiries— 4,158
• FY2017 room pick up total from 10/1/16—9/30/17 is 3990 in 11 market segments.
• Upcoming tournaments/events—International Quilt Show at GRB, CMRA Motorcycle races t MRS Houston,Softball
tournaments hosted by PGSA,World Corporate Games hosted by Harris Co Sports Authority.
• Other—Business Outreach:Continued relationship building with group tour operators, reunion market&sports planners.
- Product Development:Working on self-guided tour of Sri Meenakshi Temple and Pear-Scope scavenger hunt.
