Meeting commenced at 6:06 PM. In Attendance: Gary Shepherd (Chair), Manny Patel (Vice Chair), Teir Allender, Steve Saboe (Sec), Kim Sinistore - Executive Director. Absent: excused - Lonzie Helms, Arlene Ford, Keith Ordeneaux and Tomika Gamble. II. DISCUSSION AND POSSIBLE ACTION REGARDING JULY 13, 2016 BOARD MEETING MINUTES. Approved minutes from July 13, 2016 meeting. Motion by Steve seconded by Teir. III. DISCUSSION AND POSSIBLE ACTION REGARDING THE REVIEW OF AIR B N B. Discussed Air BnB. Discussed need for research on the issue. Texas monthly article March 28, 2016. No action taken. IV. DISCUSSION AND POSSIBLE ACTION REGARDING THE USE OF MEETING MAX. Discussed Meeting Max and its applicability for sporting events. Motion to authorize Kim to investigate question raised in discussion, negotiate pricing for a trial period, no commence a trial period. Questions: can all hotel brands use it? Does meeting max use this for marketing? Steve made motion, manny seconded. V. PUBLIC COMMENTS — None VI. STAFF REPORT FROM THE CONVENTION & VISITORS BUREAU EXECUTIVE DIRECTOR • MARKETING & SALES AND SPECIAL PROJECTS Exec directors report was shared with the Advisory Board - see attached report VII. Minutes taken by: Steve Saboe Pearland Convention & Visitors Bureau Advisory Board Meeting – October 12, 2016 – 6:00pm, at Pearland CVB Agenda Item talking points... Air B n B – Discuss possible consideration of code and permitting ordinance and compliances; possible reaching out to company. Meeting Max - is a housing system that would be operated in-house by the Pearland CVB and would function as an extension of our organization. It is a robust system that speaks with our CRM, allowing the CVB to remain competitive with other destin ations and will enable us to streamline and automate housing processes for new events in Pearland. Additionally, it will allow us to gen erate revenue and provide an incentive to groups who meet the criteria. This system is utilized by tourism bureaus, asso ciations, and major events across North America like South by Southwest, Visit Plano, and National Association of Sports Commissions. Fees: One Time License Fee: $5500 (paid at contract execution) (Includes 1 Unconvention registration and 5hrs of implemen tation training) with Annual Renewal: $1500 (paid on the anniversary of each year); Per Room Night Fee: $2.00/ room night (paid at the conclusion of each event, most organizations mark this up as a new revenue stream) ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Executive Director’s Report…  Ongoing Business: -FY2017 Budget – Final Operating budget for FY2017 is $708,600 and $97,400 for Super Bowl Supplemental.  Marketing & PR: Website page views – Quarterly – 49,075 | Yearly – 283,081 | FB fans/likes – 3741 -Advertising – Ads going in TX State Travel Guide and USA Today Super Bowl section with Hou ston & Beyond group. -PR stories – Art Show Coverage on Great Day Houston  Tradeshows & Sales: -Leads & Inquiries – Quarterly room night pick-ups – 2183 (817 volleyball, 201 cricket); includes sports, fraternal, religious, medical, and vocational. -Upcoming tournaments/events – Cricket, softball, Diving and Bayou City Classic Golf event.  Special Projects: -Working on the 2016 Annual Report – highlights include increased collateral distribution due to summer promotion and advertising, increased website visits and increased exposure due to advertising on expedia. - Houston First Grant /Shake Rattle & Roll summer promotion– Final grant report submitted and waiting on receipt of $15,000 grant award. -Pearland Art & Crafts on the Pavilion event– Occurred Oct 1 & 2 with 38 artist booths, live music, 3 food trucks, a pop up art class tent, a bistro/wine tent and children’s activity tent. -Cultural Arts Grant FY 2017 – 7 Grant applications submitted and being reviewed. A total of $30,000 is budgeted for grant. Award letters to go out soon. -Pear-Scape project – To date, 10 pears have been painted totaling 11 sponsors – 9 gold & 2 green, 5 community sponsor pear contributors. Still selling and coordinating the concrete base, plaques, website page and installation. A Kick-Off event to be held this month. -Historical Society – Working with them on the development of programming and restoring the Railroad Depot. -Travel Alliance Partners – CVB coordinating 3 day meeting and FAM for 30 tour operators in Nov/Dec. - Super Weekend – Feb 4 and 5 will bode 4 trolley cars to transport visitors around Pearland and a Sat, 2/4 Super Concert at the PTC. -TAAF, TX Amateur Athletic Federation – Press Conference announcing the games to be held on Oct 18, 11am at Rec Center. Planning is underway with PARD & CVB working together to produce this City -wide event in 2018 and 2019. - Set up 2017 Board Meetings – January 11, April 19, July 12, October 11.
