ADVISORY BOARD MEETING - MINUTES
Tuesday, October 7, 2014 - 6:30 p.m. at CVB
CALL TO ORDER - — Rushi called to order at 6:37
II. CONVENTION & VISITORS BUREAU (CVB) ADVISORY BOARD MEMBER ROLL CALL -
Roll call, quorum present — Present were Teir, Rushi, Steve, Gary, with Jon as guest and Kim and Megan
(staff) present.
III. DISCUSSION AND POSSIBLE ACTION REGARDING JULY BOARD MEETING MINUTES
Chair requested that prior meeting minutes to be emailed in advance of meeting.
Reviewed minutes from July 8 meeting. No amendments. Motion to approve made by Teir, seconded by
Gary. Passed 4-0.
IV. PUBLIC COMMENTS - No Public comments were made, but board members commented on great Arts
event this past weekend.
V. DISCUSSION AND POSSIBLE ACTION REGARDING REVIEW OF CITY OF PEARLAND CO-SPONSORSHIP OF
SPECIAL EVENTS POLICY. Reviewed the draft of the City's Co-sponsorship of special events policy. Board
should review and comment by October 30 and provide comments to Kim.
Vi. DISCUSSION AND POSSIBLE ACTION REGARDING 2015 CULTURAL ARTS GRANT PROGRAM. Reviewed
2015 cultural arts grant program. Kim recommended that the review committee consist of original three
(Kim, Michelle, Lata) and one board member. Rushi nominated himself. Kim would like to have
applications due November 30, 2014. Schedule would allow committee to make decisions in January and
award checks in early February. Motion to approve Rushi as committee member by Steve, seconded by
Teir. Discussion included Steve disclosing that a separate organization (for whom he sits on the board)
may be applying and it was important that he recused himself from the review committee process. Motion
passed unanimously.
VII. STAFF REPORT FROM THE CONVENTION & VISITORS BUREAU EXECUTIVE DIRECTOR
Executive Director's report should be included in the minutes, with the following modifications:
o Modify that 3rd Q data is YTD data.
o Proposed next meeting dates are:
■ January 6 or 7, 2015
■ April 7 or 14, 2015
■ July 7or14,2015
o Based on CVB website pages visits, people are using it for information about the
community Visitor map print copy publication up 50% over last year Minutes should
reflect that the future art and craft event should include food trucks (per Rushi) and
staff should watch conflicts with the football schedule! Next year's event may include
related destination events.
o Potential date conflict with Basketball tourney and crawfish festival next year. Need to
discern location.
o Pear Tour project will likely include business sponsors.

General:
• 2015 final approved budget - $596,252
• YTD Occupancy Tax Revenue through 31d - $1,044,287.43
• 2014 CVB Annual Report to be ready by Dec 1.
• Total # inquiries: 7098
• Developing a regional tourism partnership with surrounding CVBs to market "Beyond Houston"
Sales & Tradeshows:
• Tradeshows - Attended 5 shows: Connect, Going on Faith, Travel Media Showcase, South
Central Motorcoach and Small Market Meetings.
• FAM trip - Held Sept 18 & 19 with 6 attendees, Working on another for March 2015,
• Packages - Fall packages on website. Working on obtaining new themed packages as result of
packaging workshop.
• Leads and Inquiries - Processed 8 inquiries from outside sources; mailed maps and event venue
guide, Tournaments/events produced 1427 total room nights: Family Reunions (304 room
nights), TX Volleyball Invitational (841 room nights), Water Polo Tournament (29 room nights),
Jehovah's Witness (138 room nights).
• CRM - Simpleview CRM has been launched. MF is working on inputting Pearland's information
and creating the database.
Marketing:
• Advertising - Ads placed and events posted in - Houston Chronicle Discover Houston, Chron-
sports section, TX Sports Facility Guide, Visithouston.com, Culturemap Houston, TX Highways,
On the waterlifestyle.com, TX Independence Trail region, Festival & Fairs.com, TX 288 south
newcomer.com
• VisitPearland.com Website - Quarterly - 25,360 page views I FB fans/likes - 2575.
E -newsletter sent to consumers in Sept.
Public Relations:
• P. R. - Press releases - Wine Fest, Ifest, Art & Crafts on the Pavilion I Stories received - Ifest, Art &
Crafts on the Pavilion, Superbowl preparation,
• Publications - New CVB Map and new Antiques brochure.
• Media requests fulfilled for Holiday event information to various writers.
Events:
• Sponsorship involvement with International Festival and Wine Fest - Waiting on final report.
• Art & Crafts on the Pavilion - Oct 4 & 5 - 24 vendors and approx, 1700 attendees; partnered with
Pearland Town Center and Pearland Arts League (PAL). ($1000 of proceeds going to PAL)
Upcoming
• Pear Project - Develop a Pear Trail with 4' fiberglass pears custom painted with different designs
placed throughout Pearland. Work with arts groups and private/non-profit groups.
• A Taste of Pearland in 2015 - A food and wine event partnering with HEB and local restaurants.
• Quarterly meeting - October 30 at 3pm.
• Posted on U of H site for Interns.
• Looking for site for 2015 Crawfish Festival.
• The 2015 Cultural Arts Grant Program is accepting applications now through Nov 30, 2014.
